This Privacy Policy explains how VectorQuadrant collects, uses, holds and discloses personal information when you visit our website, contact us or use the VectorQuadrant platform and its AI-agent features.

- Account and contact information, such as name, work email, organisation, role and account identifiers.
- Subscription and transaction information, such as plan and billing records.
- Customer Content, including files, records, emails, documents, prompts, agent goals, instructions and other information you choose to provide or connect.
- Connected-system information, including authorised data and metadata from email, CRM, accounting, file, API and other systems.
- Agent and activity information, including configurations, approvals, actions, results and audit records.
- Technical and usage information, including IP address, browser/device data, logs, security events and diagnostics.
- Communications, including support requests and demo enquiries.
3. How we collect information
We collect information directly from you, from your organisation, from systems you choose to connect, automatically when you use the service, and from providers supporting account, security, billing and platform operations.
4. Why we use information
- provide, operate and improve the service;
- authenticate users and administer organisations and permissions;
- run configured AI agents and requested analysis or actions;
- connect to authorised business systems;
- apply approvals, access controls and governance controls;
- maintain security and troubleshoot problems;
- provide support and communications; and
- meet legal and regulatory obligations.
We do not use Customer Content for advertising. We do not use Customer Content to train our own general-purpose AI models unless separately agreed with the relevant customer.
5. AI processing and automated decisions
VectorQuadrant uses AI systems to help agents interpret authorised information, make recommendations, prepare content and, where configured, take actions. Customers determine each agent’s goal, instructions, system access, approval requirements and operating context.
VectorQuadrant is not intended to be used as the sole decision-maker for decisions that significantly affect an individual’s legal rights or similarly significant interests unless the customer has independently assessed and implemented the legal, governance and human-review requirements applicable to that use.
6. Service providers
We may use third parties for infrastructure, storage, email delivery, payments, security, monitoring and AI/model services. Relevant Customer Content may be sent to those providers as necessary to perform the requested task. We seek to use commercial arrangements and available provider settings suitable for business use.
7. Overseas processing
VectorQuadrant and its providers may process or store information in countries other than the country where you or your organisation are located. Depending on the providers used, information may be processed in the United States and other countries where our infrastructure, AI, communications, security or support providers operate.
8. Security
We use technical and organisational controls designed to protect information, including access controls, tenant separation, protected credentials, controlled agent permissions, audit records and execution safeguards. No internet service can guarantee absolute security.
9. Retention
We retain information for as long as reasonably necessary to provide the service, satisfy contractual obligations, maintain security and audit records, resolve disputes and comply with law. Retention periods may differ by information type and customer configuration.
10. Your privacy rights
Depending on your location and applicable law, you may have rights to request access to, correction or deletion of personal information, restriction of or objection to certain processing, data portability, or withdrawal of consent where processing is based on consent. These rights are subject to legal exceptions and may differ by jurisdiction.
If information is controlled by a VectorQuadrant customer rather than by us, we may direct your request to that customer.
10. Access and correction
You may request access to or correction of personal information we hold about you by contacting hello@vectorquadrant.com. We may need to verify your identity. If the information is controlled by a VectorQuadrant customer, we may direct your request to that customer.
11. Privacy complaints
Send privacy concerns to hello@vectorquadrant.com. We will investigate and respond within a reasonable period. Depending on where you are located, you may also have the right to raise unresolved concerns with your local privacy or data-protection authority.
12. Cookies
Our website and service may use essential cookies or similar technologies for login, security, preferences and service operation. If we introduce non-essential analytics or marketing technologies, we will provide appropriate information and controls where required.
13. Third-party services
